An exciting opportunity has arisen for a Core Skills Assistant to join the Kings College Hospital Trusts L&OD team on a secondment / Fixed Term Contract until the end of December 2023.

Job Summary

We want our people to feel valued, motivated, engaged and well led; this role supports the L&D Learning Consultant and Coordinator for Core Skills in achieving this through the organisation of the Corporate Induction and Core skills training offer, liaising with all stakeholders to provide a continuous service ensuring the Trust meets it core education requirements in a responsive, appropriate and cost-effective manner

Main Duties and Responsibilities

  1. Admin Support
  • Ensure provision of high calibre administrative services in the production of data and information for reports, papers, spreadsheets and other documentation.
  • To maintain action/activity trackers where required ensuring that information is continually updated liaising with the relevant stakeholders to record latest action status.
  • To provide support to the Subject Matters Experts Committee, to include: drafting agendas, collecting papers, finalising agenda items and timings, confirming attendees and to facilitate, scribe or take minutes.
  • Liaise with Subject Matter Experts (SMEs) and external training providers to enable the smooth running of both corporate, clinical inductions and Core Skills training.
  • Support the Learning Coordinator in monitoring costs of external training providers, producing reports on expenditure and raising orders on the Trust procurement system as required
  • Support a continuous improvement mind set and a can do approach to ensure L&OD delivers value through its services.
  • Maintain quality assurance and governance processes across L&OD
  • Maintain action/activity trackers where required ensuring that information is continually updated liaising with the relevant stakeholders to record latest action status.
  1. Trust Induction
  • Support the Core Skills Coordinator in liaising with L&OD Team, HR Shared Services and internal HR Recruitment team in relation to scheduling of Trust induction programme. Attend induction related meetings with stakeholders as applicable.
  • Liaise with new starters, line managers and HR colleagues in relation to non-attendance or non-completion of induction and to escalate accordingly
  • Maintain the Trusts intranet page on induction and core skills to ensure all information is accurate and current.
  • Make suggestions on how to improve the end-to-end induction process.
  • Support the L&OD team to ensure Corporate Induction has a lead facilitator for each corporate induction.
  • Prepare individualised Welcome Pack for new starters, liaising with necessary teams to ensure all contents is accurate and up to date.
  • Escalate to the Core Skills Coordinator issues relating to capacity where induction or courses are full or a programme is unable to run due to low numbers.
  1. Training Centre
  • Provide a friendly, helpful and caring welcome for new starters induction, core skills training sessions and visitors to the Learning Centre.
  • Provide excellent customer service, ensuring queries are responded to promptly and that L&OD is represented in a professional manner at all times.
  • Provide basic audio-visual support where appropriate in the training rooms.
  1. Staff supervision
  • Assist Core Skills & Resources Coordinator on an as and when needed basis with the coaching and development of apprentices or other attached staff assigned to the Team.
  1. LEAP / Training Admin
  • Liaise with Learning, Education, Appraisal Platform (LEAP) support team to ensure new starters have access to LEAP on arrival.
