The Integrated Medicine & Patient Flow (IMPF) division are now recruiting a Divisional Administrator to provide comprehensive admin support to the Senior Nursing Team. IMPF is a busy and evolving division within Blackpool Teaching Hospitals NHS Trust and we are looking for a dynamic individual to join and support our busy, multidisciplinary team. 

The post holder will be a well organised team player with the ability to work autonomously as needed. A good working knowledge of Microsoft Office applications is key to this role and daily tasks will include use of Teams, Outlook, Word and Excel. A flexible approach to work is essential due to the changing needs of the business demonstrating ability to multitask and re-prioritise your workload when required.

Main duties of the job

The post holder will provide a comprehensive secretarial and administrative support role to the Senior Nursing Team within division and will directly support the three Assistant Divisional Directors of Nursing (ADDoNs). Reporting to the PA to the Divisional Director of Nursing, you will also be expected to cross cover any periods of leave.

The post holder will demonstrate excellent communication skills liaising daily with a range of busy individuals of varying levels both within the division and across the trust in addition to staff from external organisations, other clinicians, and operational management teams.

Duties include:

  • Managing diaries
  • Administering returns
  • Preparing meeting papers
  • Minuting key divisional nursing meetings
  • Producing letters
  • Maintaining records and databases
  • Generating reports
  • Creating requisitions
  • Ordering stationary
  • Distribution of Trust communications
  • In addition, there is an equal measure of duties which are dictated by team members on an ad-hoc basis requiring the post holder to demonstrate confident prioritising of workload and use of initiative to meet often tight deadlines.

    As a team, we are keen to ensure we have a proactive social media presence on platforms such as Twitter and Facebook and a working knowledge of these platforms would be beneficial. Creation of divisional newsletters, producing podcasts and other media to share across the divisional nursing teams is also a key part of this role and experience would be desirable.

  • Qualification in secretarial/administration functions or equivalent experience
