We are currently recruiting for a BD Assistant to join our aosphere department on a permanent basis.

aosphere’s client base has predominately been financial services institutions but with the launch of Rulefinder e-Signature and the re-launch of Rulefinder Data Privacy in Q3/4 2020 is looking to appeal to a wider non-financial corporate market. aosphere products are used by over 600 institutions worldwide and approximately 15,000 individual users.

Role purpose

This is a rare opportunity to join an established but dynamic and growing business offering innovative solutions to client problems. We are currently seeking to recruit a BD Assistant, on a permanent basis.

The successful candidate will have great attention to detail, strong data entry skills, excellent presentation and communication skills, with a flexible can-do attitude, enjoys working in a team and is a team player, with strong organisation skills. Experience of using client relationship management systems or databases would be an advantage.

The role is full time but we will consider applicants wishing to work part time, four days a week.

Role and responsibilities

The role requires someone with experience in a professional services environment and might appeal to someone currently working as a Legal PA or someone with solid administrative experience in a professional services environment.

The job will include, but not be limited to:

  • Supporting the aosphere sales and marketing team (particularly the Executive Director and BD Senior Manager) on day to day support and administrative tasks.
  • Extensive use of our central contact management system (Salesforce), adding/maintaining contacts and accounts, creating/completing tasks and running reports.
  • Setting up and disabling free trial access in our client platform aoslogin.com for client prospects.
  • Preparing Business Case and Fee Letter documents from standard precedents.
  • Conducting client on boarding checks via InTapp.
  • Coordinating meetings.
  • Updating sales and marketing document templates and liaising with document production/print room/digital team regarding updating marketing collateral.
  • Assisting with the monthly internal aosphere news mailing.
  • Monitoring a mailbox for email bounce backs / opt out requests and update contact records accordingly.
  • Providing administrative support to aosphere attendance and sponsorship at conferences and events including arranging registration, travel and other arrangements with conference providers.
  • Conducting all other general research and administrative tasks as directed.

  • Meticulous attention to detail.
  • Clear and concise verbal and written communication skills.
  • Excellent IT skills (MS Office, particularly Excel, PowerPoint and Word to genuine intermediate/advanced level).
